Configure organization and sender details
Set the identity and postal details used by sending workflows and compliance checks.
Fields used by the platform
- Default sender name and email
- The account-level identity available to outgoing mail settings.
- Organization name and website
- The business identity associated with the tenant.
- Street, city, state, country, postal code
- The physical mailing address checked by the pre-send analyzer.
Why the address must be complete
The pre-send analyzer compares visible campaign text with the configured organization address. If it cannot find that address in the campaign, it reports a compliance warning.
Place the address in a reusable footer template so every commercial campaign includes it consistently.
Why sender identity affects deliverability and trust
A recognizable sender name and consistent from-address help recipients decide whether to open a message before they even read the subject line. Inconsistent sender identity across campaigns, or a from-address that does not match your organization, makes messages look less trustworthy and can increase spam complaints.
Your organization details also feed directly into compliance. Commercial email regulations such as CAN-SPAM require a valid physical postal address in marketing messages, and K2Mailer’s pre-send analyzer checks the campaign content against the organization address you have configured, flagging a warning when it cannot be found.
Keeping organization details current
Update your organization and sender information whenever your business address, website, or default sending identity changes, rather than leaving old details in place. An outdated address will still pass the pre-send check as long as something is present, so it is worth reviewing periodically even without a warning.
Store the address inside a reusable footer template rather than typing it into each campaign individually. This keeps every commercial send compliant automatically and reduces the chance that a rushed campaign goes out without the required details, especially when working alongside sending domains and DNS configuration for authenticated delivery.
Frequently asked questions
- Is a postal address really required in every campaign?
- Commercial email regulations such as CAN-SPAM generally require one, and the pre-send analyzer checks for it accordingly.
- Can I set a different sender identity per campaign?
- The organization settings provide the account-level default; individual campaigns can still override the sender where the editor allows it.
- What happens if my organization address changes?
- Update it under Settings → Organization so future pre-send checks and footer templates reflect the new details.
